We’re seeking an Administrative and Financial Support Specialist for a full-time hybrid office/remote position in Portland, Oregon.

What’s a typical day as an Administrative and Financial Support Specialist? You’ll be:
• Answering phones, processing mail and bills, and providing updates on past dues.
• Maintaining office organization and managing office supplies.
• Scheduling meetings and booking conference rooms.
• Managing CRM profiles for member companies and contacts.
• Maintaining a list of active member companies and sponsorships.
• Communicating member status to staff.
• Supporting marketing and IT efforts.
• Supporting workforce classes, including scheduling, ordering lunches, and opening/closing classes as needed.
• Supporting committee work.
• Collaborating with the Director of Membership to create invoices and run reports in Quickbooks and Novi Association Management Software.
• Coordinating with the Director of Member Services on accounts receivable.
• Processing incoming accounts receivables.
• Assisting in reconciling credit card transactions and payments within Quickbooks/Authorize.net.
• Handling financial tasks related to grant management, ensuring accurate tracking, reporting, and compliance with grant requirements and financial guidelines.
• Supporting event logistics, including venue contracts, catering, travel/dining arrangements, notifications, and event kits.
• Managing event registration for members, nonmembers, sponsors, volunteers, VIPs, etc.
• Overseeing the ticketing process, including coupon codes, badges, and processing payments.
• Managing attendee lists before and after events.
• Supporting event marketing.
This job might be an outstanding fit if you:
• Have demonstrated experience in accounts receivable, including creating invoices, running reports, and reconciling credit card transactions.
• Are familiar with CRM databases.
• Have proven experience as an office manager or administrative assistant.
• Possess excellent time management, prioritization, and attention to detail.
• Have strong organizational, relationship management, and communication skills.
• Are proficient in Word, Excel, Outlook (or similar software), and Quickbooks.
• Have previous event management or coordination experience (preferred).
• Have experience with project management software, such as Monday.com (preferred).
• Have experience in a nonprofit office environment (a plus).
